PROGRAM OVERVIEW 

City Parks Foundation (CPF) is the only independent, nonprofit organization whose mission is to offer programs in public parks throughout the five boroughs of New York City. At CPF, we are dedicated to invigorating and transforming parks into dynamic, vibrant centers of urban life through arts, environmental education, sports, and community building programs for all New Yorkers.   • We produce SummerStage, the largest free, outdoor performing arts festival in NYC, presenting world-class artists from across the globe and our own neighborhoods on our mainstage in Central Park and in local parks in all five boroughs, and our Swedish Cottage Marionette Theatre and roving PuppetMobile present marionette puppet theater throughout New York City.
  • Partnerships for Parks, a public-private program of City Parks Foundation and NYC Parks, supports and champions a growing network of community leaders who care and advocate for the transformation of our neighborhood parks. 
  • We connect youngsters to nature in the urban environment through progressive, experiential teaching. Using parks as classrooms, we provide learning experiences and hands-on activities in urban forests, coastal areas, and gardens.

Free golf, tennis, track & field, soccer, and fitness programs bring high-quality instruction and equipment into areas where few organized athletic opportunities exist. We offer leveled training, year-round scholarship coaching, and special pro events.  

POSITION SUMMARY  

Reporting to the Assistant General Manager and Production Manager, the Hospitality Coordinator is responsible for serving as the hospitality point person on site for artist hospitality for all free SummerStage shows, numbering approximately 22 shows between June and September 2025.

COMPENSATION: $20/hour

RESPONSIBILITIES

On Site

  • Arrive on site before the artists and make sure their area is set up properly (table, chairs, table cloths, bins etc)
  • Set up the dressing rooms with coffee, tea, fruits and snacks
  • Greet artists when they arrive on site and check in on their needs throughout the day
  • Act as the primary contact for artists for hospitality needs on site and coordinate with Production and Assistant General Manager any special needs 
  • Keep track of hospitality inventory (snacks, utensils, napkins, cups etc) and inform Assistant General Manager when replenishment is needed
  • Advance and coordinate delivery of artists meals or meal buyouts 
  • Serve as a runner for any hospitality last minute needs 
  • Act as the transport captain on site, wrangling artists when CPF provides ground transportation 
  • Be on site at all Mainstage free concerts from sound check to end of show 
  • Work in tandem with the production office for all artist needs
  • As needed, fill in for general production assistant duties, including working with Production Manager (PM) / Artist teams to coordinate ingress and egress of all performers and their teams and acting as vehicle escort for pertinent deliveries and artist transport  

QUALIFICATIONS  

  • A minimum of three (3) years experience as a Artists Relation and or Hospitality for a performing arts center, music venue, catering company, promoter and/or major tour
  • Minimum three (3) years administrative work experience in the music business, performing arts or with a talent agency
  • Excellent multitasking skills and organizational skills
  • Strong interpersonal and teamwork skills
  • Strong customer service skills 
  • Attention to detail and high level of accuracy
  • Extremely dependable punctual, detail-oriented and organized
  • Ability to manage special projects independently and to completion
  • Working knowledge of Google Docs and Sheets and Microsoft Office Suite preferred
  • Valid driver’s license a plus
  • Ability and willingness to work in a fast-paced environment
  • Ability and willingness to work outdoors, and in all types of weather
  • Ability and willingness to work evening and weekend hours
  • Ability and willingness to perform light lifting (up to 20 pounds) as needed
  • Demonstrate good judgment and a professional demeanor
