Administrative Assistant

Asheville, NC

$17 per hour

Full-Time | Monday–Friday |

Pyramid Healthcare is seeking a highly organized and dependable Administrative Assistant to support our team in Asheville, NC. This role is essential in ensuring smooth daily operations and providing exceptional administrative support within a fast-paced clinical environment.

Key Responsibilities

  • Manage and maintain the front office, ensuring a professional and welcoming environment
  • Oversee appointment scheduling and coordination
  • Maintain medical records, including filing, transcription, and record transfers
  • Perform a variety of clerical duties such as answering phones, mailing, copying, faxing, typing, and administrative filing
  • Assemble, update, and organize client intake packets
  • Order and manage office and client supplies
  • Assist with the intake process, billing sheets, and communication with referral sources
  • Prepare check requests, maintain census data, and update intake/discharge logs
  • Attend staff meetings and record meeting minutes
  • Maintain and coordinate service for office equipment with vendors
  • Manage petty cash in accordance with policy
  • Ensure the office remains clean, organized, and presentable
  • Complete required administrative reports and maintain the policy and procedure manual
  • Perform additional duties as assigned to support facility operations

Technical Competencies

  • Works collaboratively to support a strong clinical program
  • Demonstrates positive, courteous, and professional communication at all times
  • Completes required and mandatory training hours
  • Follows all HIPAA, Licensing, and CARF regulatory requirements
  • Maintains strong computer, phone, and multitasking skills
  • Builds effective working relationships with staff and external partners

Education & Experience

  • High School Diploma or equivalent required
  • Previous administrative or secretarial experience preferred
  • Strong computer proficiency and excellent communication skills
  • Ability to effectively manage multiple tasks in a fast-moving environment
